Olympia Exhibitor Information

The Olympia PSRW event is Wednesday, May 6, 2026, 11:00am-1:00pm, on the East Campus Lawn along Capitol Boulevard across from the Tivoli Fountain. 

Exhibitor registration is closed. The PSRW planning committee will notify confirmed exhibitors of your site location by April 20. The communication will include check-in details, loading zone and parking information, and a parking pass.

Exhibitor event schedule

Check-in: Begins at 8:30 AM at loading zone. 

Loading zone is located on northbound Capitol Blvd, across from Tivoli Fountain. A section of the road will be closed for unloading. Do not drive on the grass. 

  • Sign in with event staff. 
  • Volunteers will be available to help with unloading items. 
  • Exhibit spaces are marked with numbered signs. 
  • DES Staff will be onsite during set-up and breakdown to transport items to and from your site. Staff will direct placement of items to ensure they are securely loaded. 
  • Exhibitor’s team is responsible for loading and unloading items on and off cart.  

Set-up: 8:30 AM – 10:45 AM 

Event hours: 11:00 AM – 1:00 PM 

Breakdown: 1:00 PM – 2:00 PM, all items must be cleared from the lawn by 2:30 PM. 

Parking: Free Parking is available in the Plaza Garage: 300 Maple Park Ave SE, Olympia, WA 98501.


Exhibitor Booth Guidelines

Accessibility requirement: Booth must be placed adjacent to pavement/walkway – no exceptions.

Giveaways:

  • You may offer small promotional items of nominal value (e.g. candy).
  • Promotional items must be made available to all attendees, while supplies last.
  • Drawings, raffles, prizes, or sales are not allowed in accordance with public sector ethics rules.

Site space: Twelve (12) linear feet is allotted to each exhibitor, accommodates a 10’x10’ tent. One (1) sandbag will be provided to secure your tent. Tent stakes are not allowed. 

Electricity: Available upon request, provided on a first-come-first-served basis.

Additional items to consider. The following items are not provided, please plan to bring your own:

  • Tents, tables, chairs.
  • Additional sandbags/weights if needed to secure tent. Tent stakes are not allowed. 
  • Extension cord, if electricity was requested on registration form. 

Event Accessibility Guidelines

The Office of Financial Management (OFM) is committed to fostering an environment of equity, accessibility, and inclusivity in alignment with federal and state laws.

  • To foster that environment at PSRW, exhibitor booths must be fully accessible to all attendees, and all booth information, giveaways, and activities, must be available to every attendee.
  • Exhibitors may gather contact information from consenting attendees but are prohibited from conducting exclusive, ‘members-only’ business or activities with affiliation-based barriers within the booth during the event.
  • Information and exhibit booths are located on or adjacent to pavement/walkways to ensure safe access for event participants.

Campus Use Rules

Exhibitors must comply with the capitol campus use rules as outlined in Chapter 200-220 WAC USE OF THE PUBLIC AREAS OF THE CAPITOL BUILDINGS AND GROUNDS, including: 

  • WAC 200-220-230: Activities may not obstruct safe access for people and vehicles. 
  • WAC 200-220-240: Activities may not create a hazard to people or damage to property. 
  • WAC 200-220-245: Prohibiting access to areas of capital grounds.
