WAAM Chapter 160 – Accounts Receivable is now available
We are excited to announce the draft version of Chapter 160 – Accounts Receivable is available for review in WAAM (Washington Administrative and Accounting Manual, which will replace SAAM when the state moves to Workday).
Many of the state’s policies regarding accounts receivable remain unchanged, and therefore WAAM Chapter 160 – Accounts Receivable includes several sections previously included in SAAM such as agencies’ responsibilities, required documentation, and the collection process. These sections of WAAM apply to ALL state agencies.
What is different in the new policy is an additional section on how accounts receivable will be processed by agencies approved to use the Workday Customer Accounts module.
Currently only the following eight agencies have been approved to use the Workday Customer Accounts module:
- DES - Department of Enterprise Services
- DFW - Department of Fish and Wildlife
- DOC - Department of Corrections
- OFM - Office of Financial Management
- SPI - Office of the Superintendent of Public Instruction
- SEC - Office of Secretary of State
- WSP - Washington State Patrol
- WTS - Washington Technology Solutions
These agencies will be able to create a Customer Invoice for an established statewide customer and record the receipt of customer payments in Workday. WAAM Topic 160.30 provides details about these processes. At this time, additional agencies will not be approved to use the Customer Accounts module; however, after Workday go-live there will be a process in place for agencies to request approval to use the Customer Accounts module.
We recommend anyone involved in processing accounts receivable in AFRS today review WAAM Chapter 160.
Additional resources are available for agencies approved to use the Customer Accounts module. Please review the Customer Functional Business Process Mapping Package as a first step in understanding the customer accounts process in Workday.
To view all of the draft WAAM chapters and resources currently available, visit our Draft WAAM webpage. We will continue to share chapters as they are available using this GovDelivery format.
Agencies are encouraged to review these chapters and submit questions or comments here so recommendations can be considered prior to finalizing WAAM and before Workday go-live.
