Employee Self Service (ESS) - Leave Requests
Use the Leave Requests tab to create and submit a new leave request.
- You can submit a leave request up to six months after leave was taken and/or up to twelve months in advance of taking leave. If you need to submit a leave request older than six months or more than twelve months in advance, contact your Human Resources (HR) office.
- During payroll processing, ESS may display a message 'System unavailable, please try again in 1 hour'. If this message is displayed between 12noon and 1pm, wait about 15 minutes and try your request again.

You can delete a leave request that has not yet been approved. You can also request a deletion for a leave request that has already been approved. If your leave request has already been rejected by your approver, there is no need to delete it.

Use Show Time Account to display and review your leave balances.
- Balances for leave types in ESS may not match your Earnings Statement. ESS will display current balances and your Earnings Statement will display balances based on a specific payroll cycle.

ESS will display your leave balance if it is more than zero. For example, if you have already used your Personal Holiday - Shift, it will not be displayed because the balance would be zero.

Example: if you submit a leave request for 8 hours of sick leave, the entitlement balance will remain the same and the remainder balance will be reduced by 8 hours | ![]() |
Example: if your supervisor approves the leave request for 8 hours of sick leave, the entitlement balance will be reduced by 8 hours if the absence date is today or before. If the leave request date is in the future, the entitlement balance will be reduced by 8 hours on that date. | ![]() |
Example: if your supervisor rejects the leave request for 8 hours of sick leave (or you delete your request), the entitlement balance and remainder balance will automatically adjust (they are not reduced by 8 hours). | ![]() |
Use Show Calendar to display an overview of your leave requests.

ESS will display your calendar for a three-month time period.
ESS will display your leave requests for a specific date using the color-coded legend. Hover over a color-coded date for more information. You can also select the date for more details.

Use Show Team Calendar to display an overview of leave requests for employees who report to you (direct reports) and employees who report to a supervisor who reports to you.
- The Team Calendar provides at-a-glance visibility to help you determine potential scheduling issues. You can use the Team Calendar to quickly review and approve leave requests.

Supervisors need to monitor and review employee requests for leave to ensure requests are:
- Approved or rejected to meet payroll processing cycles.
- Consistent with work schedules and agency-specific procedures.
- Coded correctly in accordance with WAC Chapter 357-31 (Holidays and Leave/Washington Administrative Code).
During payroll processing, ESS may display a message 'System unavailable, please try again in 1 hour'. If this message is displayed between 12noon and 1pm, wait about 15 minutes and try your request again.

Use Submit/Approve on Behalf of my Employee if you need to submit a leave request for:
- Employees who report to you. For example, an employee who reports to you is not at work due to illness and they are unable to submit their own leave request.
- Employees who report to a supervisor who reports to you. For example, a supervisor who reports to you will be on vacation for two weeks. An employee who reports to that supervisor is not at work due to illness and they are unable to submit their own leave request.
Remember to log on to ESS to monitor leave requests for employees who report to a supervisor who reports to you.

Use Submit/Approve on Behalf of my Employee if you need to approve or reject a leave request for employees who report to a supervisor who reports to you. For example, a supervisor who reports to you is not at work due to illness and is unable to approve leave requests. An employee who reports to that supervisor has a leave request that needs to be approved.
- Remember to log on to ESS to monitor leave requests that need to be approved. ESS sends email notifications to the regular supervisor for approval (you will not receive email notification from ESS for employees who report to a supervisor who reports to you).
- You can also use the Team Calendar to review and approve leave requests. The Team Calendar provides at-a-glance visibility to help you determine potential scheduling issues for employees who report to you (direct reports) and employees who report to a supervisor who reports to you.
